How we get the personal information and why we have it The personal information we process is provided to us directly by you, for you to receive a Storybook Dads/Mums story. Under the General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: Your consent: you have the right to remove your consent at any time. We use the following information you have given us to: Your name: to enable you to receive the story and for identification purposes. Your email address: to register, authenticate and log in to the web-app. Your postal address and the name, prison number and location of prisoner: To be able to send the story from the prisoner and we use this information to confirm the registration and that the prisoner is allowed to participate. Relationship to prisoner: we use this information to confirm the registration and that the person in prison is allowed to participate. Name and age of child(ren): to identify which child(ren) the recording is/are for and that the prisoner is allowed to participate for named child(ren). By registering on the web-app you agree to receive a story from the prisoner you registered against. You can change your mind and delete your registration at any time (see below on how to remove your consent). Please note: before we send any stories, all prisoners will be approved to confirm that they are allowed contact by the offender management unit or other official personnel in their residing prison and that they are allowed to take part in the Storybook Dads/Mums project. How we store your personal information Registration Information: Your registration information is stored by Storybook Dads using Amazon Relational Database Service (Amazon RDS) with AWS KMS encryption, stored in the UK only. Retention period: We will keep your registration until either a) you remove consent and choose to delete your account OR b) your account hasn’t been accessed for 12 months, in which case your account will be deleted. Audio or video recording for child: Uploaded stories are stored by Storybook Dads using AWS S3, stored in the UK only. Retention period: Uploaded stories are kept for a period of 12 months at which point they are deleted. Stories can be deleted sooner by either a) you remove consent or b) there is a change in contact/approval between the person in custody and their child/yourself.
